AI in the Workplace: Why SMEs Should Lead the Way
Artificial Intelligence is fast becoming part of the day-to-day reality of modern work. From recruitment platforms to performance dashboards, AI often works quietly in the background, helping businesses run more smoothly. It’s not about replacing people, but about improving how we work, communicate, and make decisions.
For SMEs, this presents a real opportunity. AI can help streamline processes, reduce administrative workloads, and unlock valuable insights, all of which support growth without putting extra pressure on already stretched teams.
At Align People HR, we believe that when AI is introduced thoughtfully, it can improve work for both employers and employees. But as it becomes a more common part of daily working life, we also need to be mindful about how it's used.
Where AI can make a difference
AI can bring real value across many areas of the employee journey. In recruitment, it can help target job ads, screen CVs, and respond to early candidate questions. Once someone’s in the role, AI can highlight where they might need extra support or training, helping shape more tailored development plans.
It can also take some of the repetitive admin off your plate, giving managers more time to focus on things like wellbeing, recognition and day-to-day support. And when it comes to performance, AI can help you spot patterns early, whether someone’s doing really well or might need a bit of help.
Bringing people along on the journey
That said, introducing AI into your business shouldn’t be a rushed or purely technical decision, it’s a cultural one. While the benefits are clear, it's crucial to bring your people with you on the journey.
A recent ACAS survey in April 2025 showed that one in four workers worry AI could lead to job losses. Another 15% expressed concerns about a lack of regulation. If these fears aren’t addressed, they can quickly erode trust.
That’s why transparency is key. Your team needs to understand how AI is being used, how it supports (not threatens) their roles, and what guardrails are in place. Creating space for honest conversation and feedback is essential to building confidence and trust in new tools.
The role of HR in AI adoption
HR has a critical role in managing this shift. As AI becomes more embedded in workplace systems, HR policies need to evolve too.
Regularly reviewing how AI is used, and the fairness of both inputs and outputs, is key to reducing bias and maintaining inclusive practices
This is also where HR plays a critical role in setting the tone and managing the change. As AI becomes more embedded in workplace systems, policies must evolve to keep up. Businesses need to be thinking now about how they use AI responsibly particularly in ways that avoid reinforcing bias, protect employee privacy, and safeguard intellectual property.
Businesses must think carefully about how AI is used , especially when it comes to fairness, privacy, and intellectual property. AI reflects the data it’s trained on, and if that data contains bias, it can reinforce harmful assumptions. That’s especially important in recruitment or performance reviews.
Privacy, data, and compliance
AI in HR often involves sensitive information such as payroll and performance data. Employees should be clear about what can and can’t be entered into AI tools, and where boundaries need to be set.
Businesses should put policies in place that clearly define how AI can be used when it comes to private data and trade secrets. It’s not just about internal standards, regulation is coming, fast.
In the EU, the Artificial Intelligence Act is already taking shape, classifying some AI uses as “high-risk” and placing legal requirements on companies. The UK is also moving forward with its own Artificial Intelligence (Regulation) Bill, which would create a new AI Authority to oversee implementation and compliance.
A human-first approach
At Align People HR, we see huge potential for SMEs to use AI in ways that genuinely support their people and enable growth. The businesses that will succeed with AI are the ones that treat it as an opportunity to elevate human potential, not replace it.
